Guest Rental Agreement for All Rental Properties
When you make a booking with one of Our Properties you enter into a contract for which the following terms & conditions apply.
Kotihost Oy, act only as third party service for the owners of the property. In all circumstances, the Contract of Letting is between yourself as a guest and the host as an owner. This agreement is made on the basis that the property is to be occupied by yourself for a period of time and that you acknowledge that the tenancy granted by this agreement is not an assured tenancy and that no statutory periodic tenancy will arise when it ends.
1. Booking Confirmation
To reserve Accommodation Kotihost will require 50% of the total amount due. This amount is refundable as long as more than 60 days prior to your arrival you notify us that you no longer require your booking. The booking is 50% refundable as long as you cancel more than 30 days before your arrival. After 30 days before arrival the booking is non-refundable.
For bookings made within 30 days of arrival, full payment, by cleared funds, is required at the time of booking. In the event of a cancellation within this period no refund will be given.
The booking is only confirmed once we have received the 50% payment deposit.
Should payment not reach Kotihost within the required time stated, Kotihost reserves the right to cancel any booking made and any money paid will be forfeit.
Booking conditions are subject to the successful guest verification process being conducted prior to check in. All guests will be sent a link on booking confirmation of which they must verify themselves to our verification platform partner Superhog.
Guests who have not completed verification will not be sent relevant access information, and Kotihost reserves the right to cancel the booking subject to the company cancellation policy should the guests not provide.
2. Method of Payment
Kotihost accept the following methods of payment:-
• Credit/Debit Card: Visa, MasterCard, & American Express.
3. Booking Extensions
If you wish to extend your stay we will accommodate the request should we have availability. Payment must be made immediately on invoice. Failure to do so will result in a clean being scheduled for the original day of check out.
You are only granted a license to occupy the Accommodation and this agreement gives you no other rights either express or implied to the Accommodation.
The number of people permitted to occupy each property is limited to the number of beds. In some properties extra sleeping accommodation can be arranged but must be agreed upon in advance. If the number of people permitted to occupy a property is exceeded, Kotihost reserves the right to charge for additional guests at the rate of 100€ per guest per night.
6. Duty of Care/Responsibility
It is the responsibility of the Guest to ensure they are respectful to other tenants living within the area in which they are staying. Guests must also ensure noise levels are restricted. Each of our listings has a device (Minut) that measures noise levels. Should this device be tampered with or be switched off, it will result in immediate termination of the stay. Additionally, reports of excess noise from other tenants to the Agent will mean automatic immediate termination of the stay. Guests have a responsibility and duty of care to ensure damage is not deliberately inflicted on the property or its contents. Smoking is prohibited and any evidence of this in the apartment will incur penalties. Such damages will be charged to the Guest via invoice payable within 7 working days.
7. Arrivals and Departures
Guests can check in to their apartment from the time specified on the listing. On arrival please check the Accommodation and accept your stay. The check out time is specified on the listing. Please note you will be charged 250.00€ for checking out late or checking in early without prior arrangement. Key collection details will be provided prior to check-in date and will not be released until this contract has been signed and identification of the lead booking submitted.
In the event that a guest needs to check out prior to the agreed departure date, Kotihost will class the departure as the end of the stay and arrange for the property to be cleaned.
8. Inventory / Property Care
All damages, over and above the deposit amount, will be paid for by the guest within 7 days of receiving the invoice from Kotihost. Failure to do so will result in a small claims court claim being filed on the next working day after the deadline. All interest, legal fees and any other charges related to recouping the outstanding debt will be paid for by the guest.
Please note you will not be charged for the odd broken glass or cup however charges will be made for any damage to the property or its contents or if any additional cleaning costs are incurred.
9. Additional Charges
Cleaning: Kotihost expects the property to be left in a reasonable state on departure. If, at Kotihost’s discretion, additional cleaning is required on departure, the cost of this cleaning will be an additional charge, again invoiced and payable within 7 days.
Smoking: Smoking is prohibited in all properties. Anyone found to be smoking or evidence of smoking in the properties will incur a 250€ charge by way of Liability to cover the additional costs of cleaning, freshening and airing the Apartment over a 24 hour period. Any damages caused will be charged for in addition to this fee, again invoiced and payable within 7 days.
Keys: Kotihost will issue the guest with one set of keys.
However, if the issued keys are not returned on departure we reserve the right to charge the guest or booker for the replacement of keys or changing the locks. The cost of replacement keys will be 200€. The cost for replacing the locks will be no less than €200.00 whichever Kotihost deem the quickest way of gaining access to the property. In such an event, Kotihost also reserves the right to charge the guest for further nights stay should it be the case that we are unable to gain access to the property and re-let it.
Call Outs: If the emergency call out number is used to call out Kotihost between the hours of 8 pm and 9 am for any purpose other than an emergency, Kotihost reserves the right to charge the booker or guest a call out fee of 250€.
Personal Belongings / Lost Property
Our Properties do not accept any liability in relation to any damage to, or loss of your personal property and belongings except where such damage or loss is caused by the negligence of Our Properties. It is your responsibility to ensure that you have adequate holiday insurance cover. Lost property will be held for a period of 14 days from the departure date and kept with the local cleaning team. Items will be returned on request. Charges will be past over to cover the cost of postage and packing. Our Properties do not accept responsibility for the safe carriage of any items returned.
Kotihost cannot be held responsible in any way for loss of or damage to, contents, furniture, fittings or any personal belongings at the apartment locations. Nor can Kotihost be held liable for the acts or defaults caused by third parties. You are advised to ensure your own insurance policies cover loss or damage to personal property during your stay. Guests are advised to take out adequate travel and personal insurance.
Some properties advertised on the Kotihost website are owned by third parties. Whilst Kotihost endeavors to ensure the highest standards for third party properties, it does not warrant that in booking these properties on your behalf, that the property is in accordance with local national laws including health and safety and insurance. You also understand that although a third party may comply with local national laws, the rights and remedies under such laws may be different to that of other countries.
Kotihost cannot be held liable for any personal injury or death.
11. Access to Properties
Only on very rare occasions, Kotihost may need to access the property in which you are staying. Kotihost reserve the right to gain access to all properties at all times. We will, wherever possible, endeavor to give guests as much notice as possible prior to entering the property.
Whether pets are permitted or not is stated in the property description setting. Guests must notify Kotihost at the time of booking whether a pet will be staying in one of the properties. It is the responsibility of the guest to clean up their pets' waste. Kotihost reserves the right to charge the booker or guest for the additional time needed to clean excess mess left by pets
Kotihost cannot be held responsible for any failure or interruption of services to the property, including electricity, snow and water or any damage, disruption or noise caused as a result of repair works being carried out in another part of the property or development.
Kotihost operates between the hours of 9am and 8pm 7 days a week.
Depending on the source of your booking you may or may not be asked to pay a security deposit. In either case the lead guest takes full responsibility for any damage or additional charges and accepts that they will be the named person on the invoice and the liability to pay rests solely with them. The lead guest also agrees to settle the invoice within 7 days and accepts that failure to do so will result in interest charged at 5% per day for every day that passes that the invoice is unsettled, plus any fees incurred to recover the debt. The initial damage will be deducted from any deposit held on file and you give full authorisation for this to happen whilst accepting that anything not recovered by the deposit amount will be paid in full by you, the lead guest, within 7 days of the invoice being issued.
